Job Description

The institution is anchored in the values of public service, social justice, and academic excellence. The Hospital and Medical College in Itki, Ranchi, Jharkhand, will begin with a 230-bed broad speciality hospital in its first phase and expanding to a 1,300-bed medical college in subsequent phases.

The Head of Operations/Administration will be responsible for setting up, leading, and continuously strengthening the Operations/Administration and administration function of the hospital from the ground up. This is a foundational leadership role, requiring the individual to build systems, protocols, and teams that can support a 230-bed hospital at launch and scale seamlessly as the institution grows into a 1,300-bed medical college. The role demands close coordination with clinical leadership to ensure efficient, safe and compassionate care delivery, full compliance with statutory and NABH requirements, and stewardship of the Foundation's values across all non-clinical functions.

Responsibilities:

Institution Building & Foundational Setup

• The candidate will be responsible for commissioning the hospital's operational infrastructure, building high-performing teams, ensuring regulatory compliance, driving operational excellence and creating scalable systems that support the institution's phased growth from a 230-bed hospital to a 1,300-bed academic medical centre.

• Set up the administration and Operations/Administration department for a large hospital from scratch.

• Create and implement SOPs and protocols for all support services, including Housekeeping & Laundry, OPD, OT, IP, Critical Care Area, Bed Management, ER, Security & Fire, Hospital Emergency Codes and Hazardous / Bio-Medical & General Waste Management.

• Take ownership of the overall management of Operations/Administration and administration of the hospital and all support services, including employee welfare services such as hostel, accommodation, and transport.

Clinical-Operational Coordination

• Ensure seamless flow between ER, OPD, IP, OT and Critical Care to provide a quality patient experience.

• Work closely with the Hospital Head and Medical Superintendent to ensure smooth hospital Operations/Administration.

• Coordinate between all non-clinical and clinical departments.

• Reduce patient turnaround time across ER, ICU, OT, OPD, Wards and Diagnostics.

Quality, Accreditation & Compliance

• Implement NABH protocols across all support service functions and establish and run related NABH committees.

• Implement quality protocols for cleanliness, patient transport, patient safety, fire safety and hospital emergency codes (e.g., Code Red, Code Blue, Code Pink, Code Violet).

• Ensure compliance with all hospital-related statutory requirements and monitor and audit such compliance on an ongoing basis.

• Implement protocols, forms, and formats for admission, consents, LAMA, DAMA, high-risk cases and medico-legal cases.

• Ensure operational compliance with various other requirements such as labour codes and employment regulations, local municipal requirements and disaster management requirements.

Patient & Employee Experience

• Handle employee and patient requests, complaints and grievances.

• Implement a structured patient feedback process and drive continuous improvement based on feedback.

• Manage emergencies such as spills, patient falls and crowd management.

• Develop and sustain a patient-centred service culture by establishing patient service standards, monitoring patient satisfaction and experience metrics and driving continuous service improvement initiatives.

Resource, Asset & Financial Operations/Administration

• Oversee the overall management of admissions, discharges and billing.

• Manage, monitor, and audit all hospital assets both capital and consumable.

• Improve the overall efficiency of services and ensure efficient utilisation of all available resources.

• Establish tie-ups with private insurances, government and other health coverage schemes and packages.

• Develop and manage operational budgets, including departmental operating expenditure and administrative expenses.

• Drive operational efficiency while maintaining high service standards

• Lead multidisciplinary operational teams including front desk, patient coordinators, billing, administration and patient experience teams.

Stakeholder Liaison & Reporting

• Liaise with government and non-government local, state and central authorities and bodies.

• Create reports and dashboards as per organisational requirements.

• Ensure the Foundation's values and culture are implemented and practised in their true essence across the Operations/Administration function.

Requirements:

• MBA in Healthcare / Hospital Management from a recognised institute.

• 20+ years of work experience in hospital Operations/Administration, including significant experience in hospitals of 300+ beds.

• At least 10 years of experience as Head of Operations/Administration for large hospital setups.

• Experience in charitable, public-spirited or not-for-profit hospital settings will be given preference.
